  • For the position of program assistant, the World Bank Burundi Country Office (CO) is seeking a highly motivated, organized, and experienced individual who can work well in a very demanding, fast-paced workplace. The Africa East and Southern Region places a high focus on developing a supportive work environment that is built on the principles of collaboration, openness, trust, client satisfaction, and academic excellence. The assignment’s main goal is to give the World Bank Burundi Country Office administrative, logistical, and operational support.

responsibilities and roles:

  • The chosen applicant will be tasked with supporting a number of industries as well as activities related to the Unit’s overall work schedule for which ad hoc support may occasionally be required. There are expectations for the program assistant to:

Administrative and operational support:

•Practice analyzing current policies and procedures, deciding for yourself which ones should be followed, and applying them effectively.

•Extensively coordinate with other World Bank Group (WBG) units and frequently communicate with team members, wherever they may be.

•Offer primary help in the execution of the work program for the unit, as well as some specialized assistance in one or more particular areas, such as task management, purchasing, database management, knowledge management, information technology, etc.

•Exercise effective grammar and proofreading abilities in both English and French while working frequently and in depth in more than one language. This includes translating and producing a variety of standard papers.

•Identify and address various issues/problems as they emerge, autonomously adopting and adhering to the current procedures and processes.

•Offer ideas for improving the efficiency and organization of the workplace.

•Assure adherence to departmental, Vice-President Unit (VPU), and institutional guidelines to exercise quality enhancement role for projects and other documents.

•Work with the right software to create project/product timeframes.

•Attend meetings, write minutes, and make sure they are distributed and cleared on time.

•Act as a source of information on the state of the project or the goods (such as with regard to procurement, disbursement, audit, trust fund/co-financing, and legal concerns) and prepare a variety of standard project-related correspondences.

•On behalf of the team, monitor task budgets and trust funds for certain projects.

•Retrieve, alter, and show data after conducting ad hoc queries in both conventional and non-standard databases.

•As needed, take part in fieldwork for missions.

Interaction with the client and information management:

•Respond to internal and external inquiries on the specified portfolio, or as necessary, take thorough and correct phone messages and forward them to the proper parties.

•Retain up-to-date contact information for project/product contacts, including phone numbers and addresses, and deliver papers to the team.

•Work closely with team members in the Country Office and Washington to coordinate with service units.

•Keep tabs on the appropriate components of the Team’s operational actions and report on them.

Time administration and logistics planning:

•Set up the visiting teams’ work schedules and meetings with counterparts.

•Align time management and schedules with existing and upcoming priorities, plan for and keep an eye on changes, and convey the information.

•Keep track of allocated tasks, project milestones, and timelines utilizing contemporary office management tools, collaborate with pertinent personnel, and offer helpful advice or information on project-related issues.

•Support preparation and logistical planning for various events, such as conferences, seminars, negotiations, board presentations and signings, field missions, etc. by coming up with inventive and resourceful solutions to non-routine challenges.

•Preserve privacy in the workplace.

Other obligations

•Back up the Executive Assistant and other ACS employees on project and office-related duties.

•Complete any additional work that the Supervisor requests.

Competencies:

  • Technology and systems expertise – Exhibit advanced understanding of and practical experience with Microsoft office programs (Excel, PowerPoint, Word, etc.). have the capacity and desire to keep up with technological knowledge and skills.

•Client Orientation (ACS) – Demonstrate effective communication techniques, a cheerful attitude toward serving clients, and the capacity to comprehend client demands and effectively meet them.

•Learning, knowledge sharing, and communication (ACS) – Strong oral and written French and English proficiency. capable of editing and proofreading draft communications. able to learn and spread information/knowledge throughout the unit.

•Business judgment and analytical decision-making (ACS) – Capable of managing information and assisting in the retention and disposal of information and records. can be trusted to utilize own judgment to perform duties as provided, to report back, and to know when to ask for more direction. capable of independently doing searches, reporting, and delivering basic information from a variety of sources.

•Drive for Results – Able to take personal ownership, accountability, and personal organization to fulfill deadlines and accomplish agreed-upon results. respecting deadlines and being able to be counted on to provide actual presence when necessary (within reason).

•Teamwork (collaboration) and inclusion – Work together with other team members to produce quality teamwork and output while showing respect for opposing viewpoints. capable of and willing to mentor younger coworkers.

Selection Standards

•Bachelor’s degree plus four years of related experience being able to succeed in the pertinent Bank Group examinations administered at the time of application (such as English language, computer applications, etc.).

•Experience working with a multilateral or bilateral organization in the past is advantageous.

•Written and spoken English and French abilities are essential, as well as the capacity to independently create a range of professional and informal letters and to proofread and edit texts.

•Able to effectively manage time and stay organized.

•Exhibited initiative and creativity.

•Proven ability to communicate effectively in both French and English with senior peers in the public and commercial sectors.

•Dedicated team player with strong interpersonal abilities and the capacity to function well in a multicultural setting.

•The capacity to deliver excellent work under time constraints.
