JOB GOALS

COMMON MINIMUM REQUIREMENTS

Education: A bachelor’s degree from a university in engineering, business administration, public administration, or a related discipline pertaining to office administration and management. Language: Professional from abroad: proficiency in the English language (level C). Level B proficiency in one of the following second official UN languages: Arabic, Chinese, French, Russian, Spanish, or Portuguese (a working language used by the World Food Program).   • In order to enable effective and efficient administration services, contribute to a WFP country strategy that aligns administrative procedures with both national and global WFP plans and policies.
  • In order to support WFP strategic objectives, assist in the creation of annual plans and the implementation of systems, policies, and procedures.
  • Gather information and compile data analysis so that management and clients can receive reliable reports and information for effective planning and decision-making.
  • Assist with the management of current resources in the area of responsibility (e.g., assets, travel, and facilities controlled by WFP) and help identify new requirements targeted at improving the effectiveness, timeliness, and efficiency of operations and services.
  • Encourage adherence to the business Occupational Safety and Health Policy by the services (e.g., WFP managed assets, travel, and facilities).
  • Encourage a culture of environmental sustainability across the WFP by setting an example of sustainable practices in all administrative tasks.
  • Lead and oversee junior employees, serving as a point of contact and offering assistance with questions and analysis.

  1. Establish and uphold a collaboration with WFP partners, other UN organizations, and local government offices specifically: Assistance in fostering closer ties with the Nigerian government; coordinate and bargain with the UN Diplomatic Representation in Nigeria, the Ministry of Foreign Affairs in Nigeria, and the Ministry of Interior regarding the granting of appropriate ID cards or permits of stay for WFP employees, their dependents, and domestic staff/assistants. Provide protocol services (e.g., by coordinating airport transfers and guaranteeing protocol coverage for official activities) to the VIP and Senior Management of the WFP Nigeria office and Sub-offices. Establish strong operational relationships to improve and facilitate the efficiency and effectiveness of WFP operations (e.g., the issuance of diplomatic license plates, the approval of tax exemptions, special permits to import vehicles, and the management of tax-free fuel cards) as part of the joint UNCT efforts. Liaise with relevant UN agencies and local authorities on matters relating to diplomatic privileges and immunities. Track the application of the Basic Agreement, as well as the privileges, derogations, and immunities given to personnel at national offices in the area and to Headquarters in close coordination with the Legal Service. coordinating with government representatives from the ministries of internal and foreign affairs to purchase, import, sell, and export personal and official automobiles as well as obtain license plates. coordinating with MoFA to schedule meetings with the senior government representative.
  2. Ensure that the entire Protocol function and related services are effectively managed and strengthened within the Office and Sub-Offices. This will help you manage the resources that are currently available around Protocol in accordance with current policies and laws. Encourage adherence to the terms of service and assist in formulating suggestions for enhancements or modifications to achieve additional efficiencies. Organize, manage, and oversee the work of administrative assistants to guarantee that requests are fulfilled promptly and in accordance with company guidelines. Assist and supervise Sub-offices in areas of work pertaining to protocol for agreements with host governments, systems, and procedures in an efficient and effective manner. Facilitate the development of WFP staff and partners’ capacity through planning and organizing trainings, workshops, and cross-pollination.
  3. Compile reliable information and reports for management and clients to enable effective planning and decision-making through sophisticated data analysis and reporting: Make sure that the data compilation is accurate, offer analytics on the services that the Office of Privileges, Immunities, and Management Services offers for monitoring reasons, and suggest process and procedure modifications as needed. Stay informed about the host country agreement’s privileges and immunities as it relates to national and international laws; find, track, and evaluate the best international p. 3 of 5.
