Role and Project Overview:

The Grants Manager is in charge of monitoring grants (and subcontracts) given through the EXPAND program and making sure they adhere to USAID specifications. The Grants Manager will work closely with the other home office team members, the Kenyan Grants Manager, and the Capacity Development Director in addition to directly reporting to the Grants Management Director. While the measurable program results are reported in accordance with the agreement, work plan, monitoring, evaluation, and learning plan, the Grants Manager will see to it that the EXPAND project goals are met.

primary responsibilities and duties:

  • Provide little supervision while you train, mentor, and assist grantee/subawardee counterparts in understanding the terms and conditions of their grants and the client’s rules and regulations;
  • take charge of complex contractual/compliance issues and offer innovative solutions, collaborating with Palladium team members on project-wide objectives and concerns;
  • In order to ensure contract compliance with the terms and conditions of sponsored projects, provide contractual/regulatory counsel, and ensure contract compliance, create requests for client approval as appropriate;
  • Manage the selection process during proposal evaluations, including evaluation memos and selection justifications; facilitate negotiations with awardees; draft, review, and finalize the resulting grant/subaward document; and manage the procurement of goods and services under grants and subawards, including but not limited to: draft RFAs.
  • Maintain up-to-date with changes in the industry through resources, journals, and continuing education, and be able to offer project personnel and grantees/sub-awardees training and refresher sessions on relevant subjects;
  • documents grant award, modification, performance, and compliance by creating, organizing, and maintaining grant records and files;
  • provides contract briefs to record administrative changes, amendments, and new grant awards;
  • participates in the execution, monitoring, and tracking of project milestones, in tracking grant deliverables, and in comparing grant budget to grant delivery;
  • Examine and process payment request invoices for milestones that have been attained and verified;
  • Maintain the grant portfolio database and project grant data on the pertinent grant database system and the project SharePoint site, maintaining accurate records at all times;
  • Organize the creation and delivery of internal and external reports, such as internal reviews, risk assessments, yearly reviews, and deliverables for funding;
  • escalate grant risks and issues to the director of grants management and the leadership of EXPAND Compliance, if necessary;
  • Ensure that any corrective measures for grants assigned to you are carried out, and let the grants database system know when you’ve done so.
  • oversee grant support services alongside field staff and take necessary action on grant-related issues;
  • techniques for procuring grants that are in compliance with client and internal norms and regulations;
  • make reports on the progress of funds;
  • Report on the overall status of the grant’s agreed-upon goals, benchmarks, outputs, and activities;
  • Release Grants changes as necessary;
  • assisting the Grants Management Director in providing solutions to client queries;
  • Ensure that the money management requirements in the grants manual are carried out in accordance with Palladium’s policies and practices as well as the client’s rules and regulations;
  • Work with the Manager, Project Delivery and the Director of Grants Management to train field workers on grant policies, practices, tools, etc.;
  • conduct audits, other investigations, and research to support the project;
  • help out with additional chores as needed.

Required credentials:

  • Strong management skills are required for managing large, complicated, multi-million dollar USAID grants;
  • knowledge of current USAID laws and regulations, as well as experience maintaining compliance on large, complex donor-funded initiatives;
  • a demonstrated history of cooperating with different parties;
  • to establish positive relationships with the pertinent partners and counterparts, strong interpersonal skills;
  • well-prepared, able to work independently, adept at handling many jobs at once, and able to meet deadlines;
  • strong interpersonal, leadership, and communication abilities, especially the capacity to create and express a shared vision and promote cooperation within an interdisciplinary team;
  • strong management abilities to coordinate all project resources, including technical, financial, and human;
  • strong English communication, writing, and oral presenting skills;
  • Only local candidates (Kenyan citizens) who are currently qualified to work in Kenya will be taken into consideration.
