Extended Description

  • Actively participate in the day-to-day execution of the project and guarantee adherence to the desired outcomes and project work-plans.
  • For the O3 and O3 Plus projects’ execution and evaluation, offer significant project support.
  • assist in the creation of progress reports and annual work plans.
  • Create idea notes for various project activities to make sure project goals are reached.
  • Support the creation of the terms of reference for the various project assignments and consulting engagements.
  • Ensure timely submission of high-quality deliverables by reviewing the work of consultants.
  • Attend strategic programming meetings with internal and external partners, observe them, and take part in them.
  • Draft contact terms of reference and coordinate and produce papers required for the start of procurement processes.
  • Upon successful completion and/or delivery of the requested goods or services, payment requests should be made.
  • Offer assistance with all project-related administrative issues, such as trip arrangements, travel authorisation, budget oversight, hiring of consultants, and coordination with other divisions.
  • Support the administrative and logistical planning of all workshops, courses, and meetings related to the projects.
  • To ensure that external participants have the necessary information and papers, assist program personnel with the preparation of documents that may be required for meetings, training sessions, and conferences.
  • Ensure proper and effective use of money provided to support project workshops, seminars, or meetings by reconciling and acquitting them. This will help to achieve the desired objectives.
  • Support the facilitation of written and oral assessments during the O3 and O3 Plus program recruitment processes. Responsible for identifying sites and venues, arranging meetings for program employees, and maintaining a record of the meetings’ activities.

  • Create and maintain hard copy and electronic file systems to keep track of all paper work related to the project’s financial and administrative activities. This will ensure a thorough and accurate audit trail.
  1. SUPPORT FOR PROJECTS AND ADMINISTRATIVE ACTIVITIES (South Africa)
  • To ensure timely delivery, assist in the formulation/development, coordination, and implementation of project operations.
  • Support the projects in South Africa with regard to strategic initiatives and program planning.
  • Interventions in technical support of project implementation in South Africa.
  • Support the monitoring of project-specific performance metrics, making sure they are in line with the South African project’s work plan.
  • Maintain communication with regional suppliers to guarantee prompt UNDP and UNESCO registration, contracting, and payments for suppliers hired for South African projects.
  • Support the O3 and O3 Plus programs in South Africa with administrative and logistical support, helping to plan meetings and travel.
  • Educate the administrative officers of the Department of Basic Education (DBE) on the joint hiring and purchasing procedures of UNESCO.
  • aid program employees in the identification, hiring, and administration of consultant contracts.

3. FINANCIAL MANAGEMENT

  • Keep track of budget spending and keep accurate records of authorized project budgets and their updates.
  • Make sure that the budget for project activities is effective and efficient, and ask for money to be set aside to help with program implementation.
  • Make sure project activity acquittal reports are timely sent to the Finance and Administration Office, supported by original receipts, invoices, or payment statements, and include a follow-up activity/contract close.
  • Make sure that all requests and payments for project-related monies are presented on time to the finance and administration office with the required original supporting documentation.
  • Maintain thorough and accurate administrative records and help the office run smoothly by seeing to the provision and upkeep of office supplies and maintaining an inventory of tangible assets.

  • Coordinate and participate in the equipment, supply, and service procurement in line with the project work plan, adhering to the administrative manual of UNESCO’s principles to ensure a competitive selection that achieves value for money.
  • In a transparent and economical manner, evaluate procurement requests and start the procurement process for project supplies, equipment, and services.
  • Maintain communication with the project team to guarantee that all materials for O3 and O3 Plus projects are properly planned, acquired, transported, stored, managed, and accounted for.

ESSENTIAL QUALIFICATIONS

EDUCATION

  • secondary, technical, or vocational education through completion.

EXPERIENCE AT WORK

  • a minimum of eight (8) years of relevant job experience in administration, reporting, or the implementation of projects or programs.
