DUTY AND RESPONSIBILITIES for the Admin Assistant Job by Green Mark Herbs PLC

  • Effects permitted payments, including salaries, petty cash, and other payments; Ensures that the correct staff members are paid their salaries;
  • Before making payments, ensures that the petty cash payment voucher and any supporting documentation are complete;
  • maintains a petty cash account and requests a replenishment when the balance drops below the predetermined minimum.
  • daily updates a petty cash register book that is kept up to date;
  • demonstrates that the amount of cash on hand and petty cash vouchers is always equal to the petty cash fund;
  • ensures that advance or suspense payments are settled after the activity is completed;
  • types of letters, reports, and correspondence;
  • plans, schedules, and takes minutes at meetings;
  • purchases office supplies and utilities;
  • receives job applications and documents in various areas;
  • keeps track of employees’ time off and other records, tracks their annual leaves, and gathers personnel-related data for periodic reporting as needed;
  • Deposit and withdraw money from any bank, as well as gather bank statements.
  • receives, screens, and transmits incoming calls, faxes, mail, and local and international calls; assists with call placement;
  • follows up to make sure that insurance premiums are paid on time and that insurance claims are collected;
  • daily prepares and updates the cash situation and bank account balance;
  • operates office machinery and equipment;
  • receives, processes, and sends out letters; welcomes clients and visitors and directs them to the appropriate officer;
  • maintains and files all company reports and documents;
  • writes reports and letters;
  • performs any additional pertinent tasks that the Finance and administration Manager may assign.

Position Requirements for the Admin Assistant Job by Green Mark Herbs PLC


  • degree or diploma in accounting, business administration, or secretarial science


  • 3 years for a degree and 5 years for a diploma in administrative assistant with relevant experience


  • Excellent organizational and typing skills;
  •  knowledge of computers;
  • competency in human relations;
  • excellent planning and communication abilities;
