Synopsis of Position:

  • To support everyday operations, the temporary receptionist will be in charge of doing clerical duties in the office. The receptionist will answer phones, route calls to the appropriate staff member, deliver mail, greet guests, and direct them as needed.

PRIMARY FUNCTIONS:

  • As soon as guests arrive at the office, extend a warm greeting to them.
  • Point them in the direction of the right person and office.
  • Incoming calls are answered, screened, and forwarded.
  • Make sure the reception area is organized and well-stocked with the required materials and stationery (such as pens, forms, and brochures).
  • Give clear, concise information both in person and over the phone or email.
  • Every day, gather, sort, and distribute mail and deliveries.
  • Uphold office security by adhering to safety protocols and managing entry through the reception area.
  • Make meeting and calendar updates.
  • Help with utility payment requests, such as those for waste pickup, water bills, and electricity tokens.
  • For better service delivery, build and maintain strong relationships with both internal and external clients.
  • Make sure that every office phone line is always operational and fully charged with airtime.
  • anything else that might be assigned.

RESTRICTIONS & QUALIFICATIONS:

  • Diploma/Degree in administration, office management, front office management or equivalent subject.
  • Capacity to multitask and take on unexpected tasks.
  • strong organizing abilities and an excellent eye for detail.
  • strong communication and interpersonal abilities
  • both written and spoken communication abilities
  • aptitude for time management and organization.
  • Understanding of Accountability to Affected Public.
  • familiarity with PSEA and anti-fraud.
