Relationships at work and the organizational environment

An assistant for resettlement often works at a branch office, field office, or multi-country office. The incumbent’s main responsibility while working under supervision is to support the supervisor in ensuring that a specific UNHCR Office delivers efficient resettlement services in compliance with the UNHCR Resettlement Handbook, UNHCR Manual, and pertinent policy papers and publications. The incumbent assists resettlement operations significantly with clerical and administrative tasks and may on occasion participate in evaluating cases for relocation and conducting interviews. To exchange information and talk about problems involving resettlement situations, s/he keeps in touch frequently with the supervisor and appropriate coworkers within the same Office. Resettlement-related restricted contacts and working-level communication are necessary with IOM, other operating partners, and Embassy/Immigration Officials of the countries of resettlement.

Each employee of the UNHCR is responsible for carrying out the tasks outlined in their job description. They act in accordance with the UNHCR’s regulatory framework, which includes the UN Charter, the UN Staff Regulations and Rules, the UNHCR Policies and Administrative Instructions, as well as any applicable accountability frameworks, and within their scope of authority. Additionally, employees must carry out their duties in a way that is compatible with the fundamental, functional, cross-functional, and managerial skills as well as the key values of the UNHCR, which include professionalism, integrity, and respect for diversity.

Duties

  • Prepare written materials for submission as part of the resettlement process, and make sure that case-specific data and files are updated consistently and on schedule.
  • Evaluate and examine each individual resettlement situation, and then prepare an individual or group submission for the supervisor to assess.
  • monitor cases from the point of submission until the conclusion and departure.
  • Follow the resettlement standard operating procedures to ensure prompt handling of cases.
  • aid in the logistical planning of the resettlement countries’ selecting missions.
  • Organize the travel and departure plans for refugees who have been approved for resettlement.
  • help with the upkeep and upgrading of the proGres or CORTS database.
  • On occasion, aid in conducting initial interviews and evaluations to process refugees for resettlement in accordance with established processes.
  • On occasion, give persons of concern (PoC) counseling.
  • Provide administrative support for training activities linked to resettlement, such as setting up meetings and seminars as needed.
  • Assist in keeping current records on each case and accurate resettlement data; aid in the creation of reports.
  • Draft or type routine letters to Headquarters, Multi-Country Offices, and Field Offices.
  • Apply an age, gender, and diversity lens consistently to all facets of the resettlement process while adhering to UNHCR’s HIV/AIDS policy and standards.
  • Reporting suspected fraud will help reduce resettlement fraud.
  • Help POC with counseling.

Minimum Requirements

  • Professional work experience and education
  • Years of Experience/Level of Education
  • G4 – 1 year of relevant experience with a high school diploma, a bachelor’s degree, or a degree of higher education
