Responsibilities
The tasks of the Archives Assistant will fall under delegated authority and include:
Management of Archives and Records:
– Offers advice on record-keeping procedures, including a review of needs and business processes.
– Helps in the digitalization of papers and records.
– Leads end-user education for RSCE’s electronic document and records management system.
– Enters records into an electronic record keeping system, both incoming and outgoing. – Keeps central file systems, both paper-based and electronic, up to date by making new folders, following disposition guidelines, and monitoring file circulation.
– Takes part in RSCE records management programs, organizes records for transfer, makes computerized file lists, and plans transportation of data from offices to storage facilities.
– Keeps the ARMU repository in excellent condition and keeps an eye on how much space is being used.
– Takes part in the transfer of official status files to the New York HRSD Registry.
– Assists with database updating, description, disposition, and accessioning tasks. Performs clearinghouse tasks related to the RSCE database’s accession, disposal, and location elements. Supports disposal operations by coordinating with records-originating offices on transfer policies and supporting documentation. Analysis of retention plans and precedents is also done to support disposition choices.
– Establishes and keeps manual accession records, and informs other Unit personnel in support of reference and archive arrangement and description tasks.
– Manages staff clearance, loan, reproduction, and retrieval of internal records processes.
– Assists external reference services by creating standard responses to questions, such as transmittals for the reproduction of records, for the Unit Chief’s approval.
– Contributes to database upkeep for the Unit. Management of documents:
– Assist clients’ offices with record searches.
– Offers delivery services for documents as needed. General:
– Perform fundamental research at the direction of superior personnel.
– Offers pertinent technical assistance to information service consumers.
– Supports the Unit supervisor administratively and performs other tasks as required.

Education
- It must have a high school diploma or its equivalent.
Experience at Work
- It is necessary to have at least five (5) years of experience in the field of records management, including at least one (1) year working with an electronic records management system, content management system, or archives management system.
- For candidates who hold a first-level degree or higher, the required number of years of relevant experience is lowered to three (3).
- Experience working for a non-governmental organization adhering to the UN common system or a comparable international organization is preferred.
- Experience in a shared service center or other comparable setting is preferred.
- It would be ideal to have a diploma or post-secondary training in information management-related fields such archives and records management.
Languages
- The working languages of the United Nations Secretariat are English and French. English proficiency is necessary for the advertised position(s). It is advantageous to be familiar with another official UN language.
Assessment
- An assessment exercise and a competency-based interview may both be used to evaluate competent individuals.
