Job Specifications

- When committing financial transactions in the Integra-Data system, the Finance Assistant will be in charge of making sure internal control procedures and IRC systems are followed. They will also be in charge of making sure correct financial dimensions are used and there is enough cash on hand to carry out program activities.
Primary Accountabilities:
- Prior to distribution, make sure that all cash payments are fully supported and authorized at the specified limits in accordance with the IRC Kenya demarcation chart.
- Create the invoice and payment journals, send them to the workflow for the Finance Manager’s approval, and make sure the approved versions are uploaded into the Integra system.
- Ensure that the information is valid and that the appropriate financial dimensions are used before processing while handling Integra data entry for accounts payable and accounts receivable.
- Every month, keep an eye on and track the financial advances made to program and support workers. Make sure that the advances are promptly repaid by creating a liquidation record that the finance manager will review.
- In charge of creating the tax schedule for the monthly per-diem that employees get and submitting it to the finance officer for approval before sending it to Nairobi for payroll deduction by the fourteenth of each month.
- Before processing the invoice journal, keep an eye on and track every vendor invoice that is sent to Finance to make sure the three-way match was fulfilled. Make sure the vendor invoices are processed promptly.
- In charge of compiling a journal for each dollar received or deposited into a bank account, which must then be submitted for workflow approval.
- ensuring the prompt settlement of vendor payment journals.
- In charge of creating the field bank account’s biweekly bank reconciliation statement and bringing up any inconsistencies with the finance manager or officer.
- Ensure that invoice and payment journals are properly supported by pertinent original documents by keeping an orderly, well-documented filing folder in a sequential filing system for ease of retrieval.
- assistance in locating documentation during the auditing process and confirming financial records as asked by the auditors or donor.

Requirements
- Proficiency in Excel and ERP systems is a plus.
- Proficiency in accounting software, such as Microsoft 365, is advantageous.
- the capacity to stay organized, fulfill deadlines, and operate under duress.
- the capacity to keep confidentiality and perform work with a high level of integrity.
- strong ability to communicate.
- Have the ability to adjust and be flexible so that you may eventually take on new responsibilities and tasks.
Essential Requirements:
- Minimum degree from university or CPA II qualification.
- a minimum of one year’s experience in accounting and finance in a related role.
