Purpose

Join our team and take on responsibility for VISION transactions relating to the section’s demand as well as helping to monitor the implementation of operations. The Operation Associate will also be in charge of carrying out a wide range of formal and specific administrative activities for the relevant sections, all of which call for in-depth familiarity with UNICEF administrative protocols, practices, and policies. The position holder will be directly supervised by the Emergency Manager and technical direction from the Operations Manager/Officer of the field office.

MANAGEMENT OF ADMINISTRATION AND RESOURCES

  • Encourage efficient coordination of travel and transportation services
  • coordinating with the Mekelle office to establish a schedule for the utilization of cars and supervising drivers to manage the transportation services.
  • Looks reviews reports on fuel usage, mileage, driver overtime records, and maintenance services.
  • Assists the sub-office staff members with their travel arrangements and entitlements in coordination with the Mekelle Admin Associate in accordance with the organization’s regulations and procedures. Assists with requests for security clearance and related Travel Authorizations granted in VISION/FIORI as needed.
  • Administration of Office Facilities and Resources
  • Ensures the security of the annual physical inventory, creates reports with cost analysis, and makes suggestions for the replacement or disposal of tools and supplies.
  • To make sure the inventory taken is thorough, reconcile physical inventory data with office records and look for discrepancies to address. creates yearly reports on various topics for the Mekelle Office.
  • upkeep of the office, store, and storage
  • helps with all issues relating to the upkeep of office facilities and the implementation of security-related procedures.
  • Petty Cash Management and Service Contracts Related to Operations
  • oversees leasing agreements and contracts for office-related services (security, cleaning, etc.) and promptly alerts the Mekelle Office to any changes that need to be made.
  • In collaboration with the Mekelle Office, reviews, confirms, and initiates payments for bills relating to operations service contracts.
  • Responsible for the petty cash and complies with all organizational requirements in this regard, including getting the required approvals before disbursing funds, making sure that funds are only disbursed for approved expenditures and within the petty cash limits, etc., and timely reporting to the Mekelle office as necessary.

ASSURANCE BY HACT

  • During the programming phase, assistance with HACT planning and creation of a fully integrated assurance plan will be provided.
  • under the direction of the Operations Officer/Manager in Mekelle, takes part as necessary in the creation of integrated HACT implementation plans (including HACT micro assessment plans and quality assurance plans annually).
  • Help colleagues organize HACT activities in eTools by offering assistance.
  • By planning, administering, and/or carrying out a number of technical and administrative duties to aid the successful implementation of HACT, you can offer competent financial, operational, and administrative assistance throughout the programming process.
  • Encourage the execution of HACT activities
  • acts as a point of contact for the sub-office for the implementation of HACT and eTools.
  • participates in and helps with the creation of the FO micro assessment and assurance plans and their ongoing maintenance.
  • as necessary, takes part in spot checks of implementing partners for the field office as well as other office regions.
  • To ensure prompt and effective results delivery, provides technical and administrative support to external service providers during the execution of HACT activities and their entry into eTools.
  • assists coworkers with updating information on eTools regarding partners and the state of the HACT assurance
  • Ensures that HACT monitoring is a crucial component of the Field Office’s comprehensive monitoring system by offering technical support and working closely with the Implementing Partners, Sub-office stakeholders, and the Mekelle Operations team.
  • To assist in the documentation and reporting of HACT plans and activities technically
  • By regularly reviewing the Vendor Master and providing information to the appropriate coworkers in the Uganda CO, assists with the recording and update of risk assessments of implementing partners in VISION.
  • Shares HACT-related reports with the Mekelle Operations team, especially reports of assurance activities, to ensure proper knowledge and follow-up on issues found.
  • Coordinates HACT activities (contacts, visit planning, documentation exchange, etc.) with UNICEF colleagues, implementing partners, and other service providers.
  • participates in the recording of the review in the e-tools and the review of the assurance activity reports of the implementing partners for quality check.
  • Maintains records of pertinent HACT-related data both inside and outside of eTools, including CO decisions pertaining to HACT, with the help of the record-keeper.
