A SHORT SUMMARY OF THE POSITION’S FUNCTIONS

  • The Conferences and Cultural Events Management Section, Division of Conferences, Languages, and Documents, Sector for Administration and Management, is where the Events Coordination Unit is located. All UNESCO conferences, seminars, and cultural events are stewarded and technically coordinated by the Events Coordination Unit in order to maintain the Organization’s reputation for producing memorable events.
  • The Technical Coordinator of Events assists the Head of Unit in achieving the Unit’s goals and objectives, to carry out its workplan in accordance with rules and procedures governing official events, and to ensure the s. Under the overall direction of the Director of the Division of Conferences, Languages, and Documents, the general supervision of the Chief of the Conferences and Cultural Events Management Section, and the direct supervision of the Head of the Events Coordination Unit,

Extended Description

The Technical Coordinator of Events will in more detail:

  • Support the Senior Technical Coordinators of Events of the team in the analysis of the client’s needs, the identification of any technical problems, and the proposal of solutions to ensure the smooth operation and prompt execution of the event, including estimating the services necessary, resource requirements, and equipment.
  • Build and maintain trusting connections with customers and service providers, serve as the event’s center point, and make sure that all participants are kept up to speed.
  • Assure the coordination and smooth operation of the technical teams in charge of the delivery of services during the actual event; rigorously monitor/supervise their work; address any potential problems; and, if necessary, work closely with the team’s Senior Technical Coordinators of Events to find creative solutions.
  • Train auxiliary staff, such as secretaries, cloakroom attendants, technicians, online meeting assistants, and document assistants, on UNESCO policies and practices.
  • Make that the computer system (g-Meets) is promptly updated with the technological needs so that cost estimates and proper billing can be created and submitted, both before and after an event.
  • Establish platforms and links for virtual gatherings, identify the technical resources required, train and accompany the organizers as needed, and manage the online meeting assistants.
  • Participate in the logistics and material planning for the General Conference of UNESCO and its related events.
  • Make creative suggestions for enhancing UNESCO’s event management.
  • Engage in any additional tasks that may be necessary to ensure the Unit and Section’s success.

ESSENTIAL QUALIFICATIONS

Competencies & Skills

  • understanding of INDICO IT applications and gMEETS.
  • demonstrated capacity for working independently with little oversight.
  • Good interpersonal and communication skills, as well as the capacity to keep in touch with coworkers in the program sectors and the Secretariat of Governing Bodies.
  • working well in a multiethnic team environment.
  • Ability to prioritize tasks in order to achieve deadlines while adhering to personal obligations, especially at conferences and busy times.
  • Excellent information technology skills in the usage of computerized document management, Excel, Access, and Word proficiency.

DESIRABLE COMPETENCES

Education

  • A relevant professional qualification can include Certified Meetings Professional (CMP), Certified Special Events Professional (CSEP), Certified Meeting Management (CMM), Certified Events Planning Specialist (CEPS), etc.
  • Strategist for Digital Events (DES)
  • finished secondary school or a technical or vocational program.

Experience at Work

  • expertise managing conferences, meetings, and events within the framework of the UN or another international organization.
  • at least five (5) years of experience, at least three (3) of which must be in the technical coordination of conferences, meetings, or events, or in fields closely linked to this field.

Languages

  • knowledge of one of the other four (Arabic, Chinese, Russian, or Spanish) official UNESCO languages.
  • Excellent command of either English or French and proficiency in the other language.
