JOB OBJECTIVE
The goal of the WFP Mozambique External Relations unit is to increase public knowledge and comprehension of WFP’s efforts in Mozambique. Through a range of communication channels, it seeks to increase brand recognition and reach as many people as possible. The work of the Unit also encompasses cooperation with funders and work on WFP programs. In this sense, the Unit’s work spans a variety of duties, including crafting stories, engaging with the media, authoring and editing external papers, and producing creative content. WFP is looking for an enthusiastic person to help the WFP Mozambique External Relations section carry out the planned operations.
ESSENTIAL ACCOUNTABILITIES (not exhaustive)
Administration
- Provide secretarial support by planning and organizing meetings, creating record-keeping briefs and notes, performing research, and keeping track of follow-up activities.
- To ensure that information is organized, easily accessible to workers, and in compliance with all applicable standards and policies, keep an eye on the upkeep of records and databases.
- Help with budget(s) planning, monitoring, and reconciliation to make sure projected financial resources are utilized efficiently.
- Help the unit make travel arrangements and communicate with the administrative departments.
- Create MicroPurchase Orders (MPO) for visibility goods, coordinate with the procurement unit and suppliers as necessary, and serve as the point of contact for this purchase.
- Support the creation, distribution, and monitoring of donor and WFP visibility materials, and keep a current inventory of all created visibility items.

Partnerships
- Keep an eye on the portfolio of private partnerships.
- Update the donor and partner databases.
- Salesforce Administration
- Participate with data entry into Salesforce to keep a current database of financing and cooperation opportunities between the public and commercial sectors.
- Information sharing and reporting
- Help with writing speeches, internal newsletters, talking points, fact sheets, and meeting briefs.
- Maintain a contact list of journalists and media to assist the communication officer in keeping the unit in regular and appropriate communication when necessary.
- As required, assist with the creation of company reports.

MINIMUM STANDARD QUALIFICATIONS
- Education: Successful completion of secondary school. Political science, sociology, business administration, communications, or a similar subject post-secondary certificate or university degree is a plus.
- Experience: Five or more years of steadily increasing responsibility in the relevant business stream, as well as experience in general administrative work.
