Responsibilities

The procurement assistant will be in charge of the following tasks within the scope of their authority:

  • In order to ensure the application of the best value for money principle, review, record, and prioritize purchasing requests; obtain additional information and/or documentation as necessary; assist requisitioners in creating scope of work and specifications of goods and services; and teach them how to develop the source selection plan.
  • Develop and complete the source selection plan.
  • Do some market research. Determine and suggest sources for purchases; publish the tender requirements for requests for proposals (RFPs) and invitations to bid (ITBs) on the website of the UN Procurement Division.
  • Create tender documents (such as invitations to bid, requests for proposals, and requests for quotes) in accordance with the specifications and procurement costs involved.
  • After initial screening, send technical suggestions to the requisitioners or the Technical examination Committee (TEC) for examination, and then get in touch with them to follow up to hasten the evaluation process.
  • examines technical reports obtained from request offices;
  • assemble information from quotations, proposals, and bids, and prepare and analyze abstracts of offers to assess which supplier might provide the needed goods or services under the best conditions and for the least amount of money;
  • Prepare presentations for CPU review and approval, present them to the Local Committee on Contracts LCC and I or the Headquarters Committee on Contracts (HCC) in regard to any proposed contract awards that would go beyond the scope of the Procurement unit’s authority, and then ask the LCC and/or HCC for a recommendation for approval.
  • Participate in more complex, higher-value purchasing activities with the appropriate officers.
  • Draft lease agreements, blanket purchase agreements (BPAs), amendments to the contract, and service/project contracts, Prepare a Statement of Awards and make sure contracts and BPAs are renewed on schedule.
  • Address any concerns or difficulties with the given goods. I performed services, including preparing, signing, and returning vendor forms for undesired services and/or goods obtained. I also checked contracts, purchase orders, and the items received for irregularities.
  • Review and assess the performance of contractors and vendors, find any flaws, and make the necessary recommendations to the Vendor Review Committee for the suspension and/or exclusion of those who don’t meet expectations from doing business with the Field Mission in the future.
  • Watch over POs and contracts, keeping track of follow-up tasks and making sure that goods and services are delivered on schedule; if necessary, raise a change order.
  • Maintain constant communication with the other Procurement Sections/Units to guarantee that contracts/purchase orders are timely renewed; follow up with the requisitioner to ensure that the order/contract is complete; submit a vendor performance report; and take appropriate action.
  • Maintain pertinent internal databases and files, keep track of any contracts, explain the rights and obligations of contracts to the appropriate contract management officials and end users, and monitor deadlines (such as delivery dates, expiry dates, renewal dates, etc.). When necessary, take prompt action to ensure prompt delivery.
  • supervise, assign, and evaluate the work of less experienced workers.

Education

  • You must have a high school diploma or its equivalent.

Job-Specific Requirements

  • supply chain accreditation from organizations like the Chartered Institute of Purchasing and

Experience at Work

  • eight years or more of progressively responsible expertise in contracting, procurement
  • It is necessary to have experience in management, contract administration, logistics, supply chain management, or a related field.

  • Exercises to award contracts must have taken place during the last eight years.
  • It would be ideal to have prior knowledge of using procurement information systems like SAP.

Languages

  • The official working languages of the UN are English and French. English proficiency is necessary for the role advertised. It would be ideal to know another official UN language.

Assessment

  • An assessment exercise and a competency-based interview may both be used to evaluate competent individuals.
