responsibilities and roles:

The chosen applicant will be tasked with supporting a number of sectors in addition to undertaking duties related to the Unit’s overall work program for which ad hoc assistance may occasionally be required. The ETT-Team Assistant will be required to:

•Offer support at various levels for setting up conferences, workshops, conference calls, and meetings. This includes handling administrative and logistical arrangements, putting together meeting materials, sending out invitations, and following up.

•Prepare, evaluate, edit, and format project documentation in accordance with Bank and Regional standards; also, keep a logical filing system to make sure that all project documents are filed and cited correctly.

•Work with the right software to create project/product timeframes.

•Conduct ad hoc investigations, look into standard and non-standard databases, locate and study different information sources, and retrieve, manipulate, and present data.

•Respond to and manage a variety of in-depth and diverse enquiries, setting priorities and choosing the best course of action when several options are available, and produce correspondence on a variety of subjects.

•Organize and coordinate the meeting schedules for task teams (and visiting missions both before and after they arrive in the country).

•When the task team leader and other team members are not present, handle internal and external enquiries about the status of projects.

•Keeps up-to-date contact phone/address lists for project/product contacts and distributes team papers.

•Report on, track, and extract statistics on disbursements for ongoing projects.

•Translate brief texts from English to Arabic and Arabic to English that are pertinent to the team’s work, such as articles, reports, and memos.

•Organize and maintain the SharePoint filing system.

•Writes standard communication and edits documents for grammar, punctuation, and style.

•Record, distribute, and keep track of all communications and meeting minutes.

•Coordinates workloads while taking priorities into account, keeps an eye on developments, and relays information to the proper staff both inside and beyond the immediate work unit, including representatives from outside the Bank Group.

•Complete ad hoc tasks and, as needed, offer assistance and support to other unit employees.

Selection Standards

•Minimum Education/Experience: Bachelor’s degree and two years of related experience, or an equivalent mix of education and experience.

•Exceptional IT skills (Excel, Outlook, PowerPoint, Word).

•Excellent interpersonal, organizational, and communication (written and oral) abilities in Arabic, French, and English.

•The ability to communicate diplomatically with people at all levels, both inside and outside the Bank.

•Excellent analytical abilities and a track record of paying close attention to detail.

•A strong sense of teamwork, initiative, dependability, and readiness to assist others in achieving unit goals.

•A background in organizing and organising events.

•The ability to write routine communication, including memos, minutes, and answers to inquiries, as well as revise and proofread it to ensure proper grammar, punctuation, and style.
